Beachwalk Vacation Rentals Policies
Beachwalk Vacation Rentals serves as the agent & representative of all Owners of vacation properties in its rental program, and is acting at all times, in and for the best interests of the Owners.
Check-in is after 4:00 p.m. (Central Standard Time – Daylight Savings Time during summer months) at the Beachwalk Vacation Rentals office. Absolutely NO early Check-ins during the summer season. Beachwalk Vacation Rentals will use its commercially reasonable efforts to have the property ready for guest occupancy at check-in time, but we cannot guarantee the exact time of occupancy. Please contact the office for instructions should you plan on arriving after 6:00 p.m. during our Summer Season or after 4:00 p.m. during our Off-Season months. Please Note – No arrivals are allowed on Thanksgiving Day, Christmas Day or New Years Day.
Check-out time is 10:00 a.m. CST. Check-out time is strictly enforced so that the cleaning service has adequate time to prepare the property for the next guest. Guests that do not vacate the property by 10:00 a.m. CST will be assessed a fee of $100 per half hour. Please return all keys to the Beachwalk Vacation Rentals office. If checking out prior to or after office hours, please leave all keys in the Key Drop outside the office.
EARLY CHECK-IN/LATE CHECK-OUT
During the off-season months check-in and check-out times may be flexible. Please call our office for more details and pricing.
For reservations made 60 days or more prior to arrival; 25% of the rent plus the non-refundable booking fee is required at the time of booking, with the remaining balance being paid in full 60 days prior to arrival. If you have paid by credit card your final payment will be automatically charged per the deposit schedule shown. If you wish to make other arrangements, please contact the Beachwalk Vacation Rentals staff. Last minute reservations, within 60 days of arrival, require payment in full. We reserve the right to cancel the reservation if payment is not received within the guidelines specified above.
A $39.00 service charge will be incurred for any returned checks.
All rates are subject to state and local tax, currently a combined total of 12%.
Guests are responsible for any damages that occur during occupancy. However a $40.00 non-refundable damage waiver protection fee is included in the total price of the reservation. This damage waiver does NOT cover intentional damage, theft, or excessive cleaning charges. Damage waiver protection provides coverage of up to $300.00 in unintentional damages to the property. Damages must be reported prior to departure.
A $500.00 REFUNDABLE security deposit is also collected on most homes. Any damages, excessive cleaning, theft or other damages not covered under the damage waiver described above will be deducted from this deposit. All deposits, less any damages, will be refunded within 7 days of departure.
Cancellations made sixty (61) days or more prior to check-in date are subject to the non-refundable reservation fee plus 10% of the rental rate. Cancellations made 0 to 60 days prior to arrival will not receive any refund. A transfer to another home is considered a cancellation.
All cancellations must be made via phone with a live reservationist or via email. A cancellation via voicemail is not valid. An updated statement will be emailed to you following a cancellation as proof of cancellation. If you do not receive an updated statement showing your cancellation, please contact the Beachwalk Vacation Rentals office immediately. A reservation is not considered cancelled until you are in receipt of the updated statement.
Confirmation of the reservation will be emailed upon receipt of the reservation payment. Please read the confirmation for accuracy of dates, mailing address, number of adults and/or children. Errors must be directed to the reservations department within two (2) days of the initial booking date or cancelation fees will apply.
Beachwalk Vacation Rentals does not rent to individuals under the age of 25 unaccompanied by a parent for the duration of the stay. ID’s must be furnished upon request. If under 25 years of age, you will not be allowed to check into any Beachwalk Vacation Rentals property and all monies paid will be forfeited. No prom parties are allowed without prior approval and, if approved, require additional deposit, no exceptions.
Beachwalk Vacation Rentals indicates the maximum sleeping capacity for each home. Unless arrangements are made at the time of booking, exceeding the maximum capacity at any time during your stay will result in the immediate forfeiture of your occupancy with no refund given for any unused time remaining.
Most properties do not allow pets, including emotional support animals. If an unauthorized pet is discovered after check-in, occupancy will be terminated with no refund. If our cleaning staff finds evidence of a pet upon departure, additional cleaning fees will be applied to Guest(s) credit card on file.
If a pet is allowed there may be an additional fee. Properties that allow pets are clearly identified as pet friendly properties in the description.
No Smoking is allowed inside any of our rental accommodations which also includes electronic cigarettes and vapes. Outside smoking is permitted but please do not litter. If smoking has been detected a fee of $250 will be charged to the credit card on file.
Parking at most properties is very limited. Most homes can accommodate between 1 and 3 vehicles depending on location. Additional parking may be available in designated areas, please speak to an Beachwalk Vacation Rentals associate for additional parking instructions.
Parking tags are required seasonally for all vehicles parking at properties within Beachwalk Resort. Parking tags are issued at check-in. Any vehicle without a valid parking tag or that is parked outside of their properties designated parking spot(s) will be subject to fines and towing at vehicle owners expense.
All keys must be returned to the office at time of check-out. Please do not leave keys in the property. Guest(s) are issued 2 sets of keys at check-in. As these are privately owned properties, Guest(s) are responsible for lost keys. The property will be re-keyed in the event that keys are lost, misplaced or non-returned. The Guest(s) will be responsible for the cost of this procedure.
If your property has a key code, a code will be given to you at check-in. All key codes are activated at 4PM CST on the day of your arrival if early arrival arrangements have not been made in advance.
In the event a Guest is locked out of a property, the guest can borrow a key by coming to the office. After business hours, the Guest(s) must call 1-800-814-7501 for assistance.
HOMES – FURNISHINGS – EQUIPMENT – ETC.–
All homes are privately owned, furnished, and equipped by its OWNER. As such, Beachwalk Vacation Rentals cannot make any changes to the furnishings or equipment provided by the owner. Décor, style and color will vary and are subject to change without notice. Under no circumstances are furniture, bedding, mattress pads, utensils or any other property supplied with the rental property to be taken or transferred from one property to another (will result in charges to Guest). Moving of furniture is prohibited, and evidence of such will result in a charge of $50. Loss of these items, as well as damage to the property or cleaning in excess of normal wear will be charged to the Guest. Certain areas in each rental property are locked for the OWNERS storage and are not included in the rental.
LINENS AND TOWELS
The supply of linens and towels that are provided is equivalent to the sleeping occupancy of the home. Bed linen and bath towels are not replaced during your stay however, all homes offer a washer and dryer for your use. Not all properties offer beach towels; please do bring your own.
OTHER SUPPLIES PROVIDED
A small initial supply of bath soap, toilet tissue (2 rolls per bathroom), dish soap, laundry (a couple pods) and trash bags are provided, but are not replenished.
A Cleaning Service will clean your accommodation after your departure. There are a few things we ask you to do:
•Make sure all refuse is in outside trash and recycle bins.
•Place dishes in dishwasher and start.
•Turn off all lights and fans.
•Adjust thermostat(s) Air Conditioner up to 78 / Heat down to 60.
•Return all keys to office.
If applicable to the Property, the hot tub will be cleaned prior to your arrival. Should you require an additional cleaning during your stay you may request this service. For more information including the cost of this service, please contact the Beachwalk Vacation Rentals office. Use of a hot tub is at your own risk. NEVER leave children unattended near the hot tub. When hot tub is not in use always have it covered and locked.
LOST & FOUND
Although we cannot be held responsible for items left behind, we do make every effort to locate and return items left behind. Contact our office and “found” items may be mailed back to Guest(s) at the Guests(s) expense. Shipping charges must be placed on a major credit card. A small handling fee will be added to the shipping cost of the item(s).
REPAIRS – SERVICE CALLS – MAINTENANCE ISSUES
Beachwalk Vacation Rentals cannot guarantee against mechanical failure of heating, air conditioning, hot water heaters, refrigerators, ovens, televisions, cable/satellite receivers, DVD players, modems, routers or other appliances or equipment. Please report any inoperative equipment to our office immediately. We will make reasonable effort to have repairs done quickly and efficiently, or move Guest(s) to a different property if possible. Should a repair person be called to a unit and find that the equipment is in working order and the problem was due to the Guest(s) oversight or neglect, the charge for the service will be the Guest(s) responsibility. Guest(s) understands and agrees that Beachwalk may enter the rental property at any time for the purpose of making any needed repairs. Our policy is not to refund or adjust rates for mechanical failure, but to respond quickly in an attempt to avoid any inconvenience.
RIGHT OF ENTRY
Guest(s) agree that Beachwalk reserves the right to enter the rental property anytime to investigate disturbances, check occupancy, check for damage, to make repairs, alterations or improvements as the Beachwalk Vacation Rentals staff may deem appropriate.
TELEPHONES / INTERNET
Most rental homes do not have a landline. Some Properties may not receive strong cellular service. Should you need to make a call throughout your stay, please stop by the rental office and we’d be happy to assist you.
Most of our Properties do have internet connectivity. We cannot guarantee an internet connection will be available due to mechanical/equipment failures. Each OWNER is responsible for the installation and upkeep of internet modems and routers. We will do our best to troubleshoot issues and contact Owners/repair service as needed in the event your internet connection is not working correctly; however, we do not employ a technician. It is against our Policy to refund any rent because of internet related failures. At any time you need to access the internet during your stay, the Office can provide you with temporary WiFi access.
Some gas fireplaces are operational all season long; please make sure gas is turned in OFF position when not in operation. Contact the office should you want the fireplace turned on during your stay. Do not allow fireplace to run for extended periods of time, especially if a TV is installed above the fireplace. Use of a fireplace is at your own risk.
TERMINATION BY OWNER/SUBSTITUTIONS
Beachwalk Vacation Rentals strives to comply with all reservation requests for specific vacation properties. However, due to ownership changes, properties being removed from rental use, mechanical problems, or other unforeseen circumstances. Beachwalk Vacation Rentals cannot absolutely guarantee a specific rental property. Beachwalk Vacation Rentals reserves the right to change assignments without notice should the unit or property become unavailable. When comparable accommodations are not available, Guest(s) will have the option of selecting from available properties at the published rate or receiving a complete refund of their reservation deposit. If no substitution is available, Beachwalk Vacation Rentals will attempt to give as much notice as possible so other arrangements can be made.
VACATION HOME UNDER CONSTRUCTION
If Guest(s) have selected a property, which is under construction, and the property is not completed prior to Guest(s) arrival date, we will use every effort to locate comparable accommodations at similar rates. Neither Beachwalk Vacation Rentals nor Owner will be liable to Guest(s) beyond the obligation to refund to Guest(s) all payments made.
ACTS OF GOD / CONSTRUCTION NOISE
Neither Owner nor Beachwalk shall be liable for events beyond their control which may interfere with Guest(s) occupancy, including but not limited to; Acts of God, acts of government agencies, fire, strikes, war, inclement weather or construction noise from nearby sites. NO REBATE OR REFUND will be offered in these circumstances.
Rental homes are not to be used to host any type of party or event without prior approval from Beachwalk Vacation Rentals. Occupancy in use of premises shall not be such as to infringe on the quiet enjoyment of its neighbors. The use of firearms or fireworks is strictly prohibited. Guest(s) certify that they have read carefully the limitations placed on the number of persons permitted to occupy the premises, and will abide by such limitations; if not, Guest(s) will be asked to vacate the property which will result a forfeiture of all monies paid.
No drinking of alcoholic beverages by persons under the legal age of twenty-one (21) is allowed. Should a Guest(s) or guest of Guest(s) be arrested for underage drinking at property or should Agent(s) observe a Guest(s) or guest of Guest(s) under the age of 21 drinking alcoholic beverages, this rental agreement may be terminated and the Guest(s) evicted at the discretion of Management. Illegal drug use is strictly prohibited anywhere on Beachwalk Resort property.
Guest(s) recognizes and agrees that by allowing Guest(s) to use Owner’s home, Owner is relinquishing an inherently personal thing to Guest(s) and, thus, Owner places a high degree of trust in Guest(s) that Guest(s) will treat the Property with the utmost respect. To that end, Guest(s) agrees that any violation of the Alcoholic Beverages provision above, including but not limited to the use of illicit drugs, is a serious violation of Owner’s trust and thus causes Owner substantial damage. These violation of trust damages are inherently difficult to measure and, thus, Guest(s) agree that any violation of the Alcoholic Beverages provision above shall entitle Owner to agreed liquidated damages for that violation of trust in the amount of $5,000. Of course, Owner also retains the right to pursue actual damages to the property resulting from the violation. Guest(s) further agrees that in the event it is found by a court to be in violation of the Alcoholic Beverages provision, Guest(s) shall pay all of Owner’s attorneys’ fees and costs.
INDEMNIFICATION AND HOLD HARMLESS
Guest(s) agree to indemnify and save harmless the Owner and Beachwalk Vacation Rentals for any theft, damage, cost or expense whatsoever arising from or related to any claim or litigation which may arise out of or in connection with Guest(s) use and occupancy of the rental property including but not limited to any claim or liability for golf cart accidents, personal injury or damage or theft of property which is made, incurred or sustained by Guest(s). The terms “Agent(s)” and “Owner” as used in this Agreement shall include their heirs, successors in interest, assigns, employees, agents and representatives where the context requires or permits. The term “Guest(s)” and “Your” as used in this Agreement shall include Guest(s) heirs, successors, assigns, guests, invitees, representatives and other persons on the rental property during the Guest(s) occupancy (without regard to whether such persons have authority under this Agreement to be upon the rental property), where the context requires or permits.
Guest(s) providing a credit card number as a guarantee do agree to pay all rent and/or any outstanding charges and accept all terms of the lease agreement during the term of the lease with Beachwalk Vacation Rentals. Any charges incurred during the stay or additional charges added (late check out, excessive cleaning, pet fee etc.) will be automatically charged to the credit card given as guarantee.
In order to be tax exempt from state sales tax, you must provide a tax-exempt certificate prior to check-in. Sorry, no tax exemptions are allowed for our local Innkeepers tax, currently 5%.
Departure cleans are the financial responsibility of the renter and included in the total due for the reservation. The cleaning fee is shown as a separate line item and is not included as part of the rental fee, this is a non-negotiable charge. During your stay, if you are not satisfied with the cleanliness of the home, please contact the office immediately. Our policy is to correct cleaning issues, not refund any monies.
Additional services available at an additional cost include additional housekeeping, linen exchange, bike rentals, golf cart rentals, beach wheelchair rental, cribs, and high chair rentals. Please contact the office to inquire about these additional services. Adding any additional items prior to arrival is strongly advised as we have limited quantities.
GOLF CART USE FOR BEACHWALK RESORT GUESTS
Golf carts may or may not be included in your rental in Beachwalk Resort, please refer to your Property description. Golf carts are seasonal and are not included during the winter months. All drivers of the golf cart must be 18 or older and have a valid operator’s license on their person while operating the golf cart. Golf cart safety guidelines must be followed and no children shall be placed on laps while operating the golf cart. Golf cart parking rules are the same as with all other vehicles and must be parked at your Property or other designated parking areas ONLY. Fines are issued for improper parking or failure to follow rules and will be charged to the credit card on file. You will receive a separate document to sign for golf cart rentals during check-in.
BEACHWALK RESORT AMENITIES
Please note that amenities such as the pool are seasonal and are not guaranteed as part of your reservation. All amenities of Beachwalk Resort are operated by the HOA. Beachwalk Vacation Rentals is not responsible for the upkeep, maintenance or care of the Beachwalk Resort grounds or amenities. Properties located outside of Beachwalk Resort do NOT have access to Beachwalk Resort amenities.
Quiet time is 10 p.m. CST. Please make sure music is turned down and noise levels are kept to a minimum following this time (especially while enjoying the outdoor areas of the home).

If you place your reservation online, it may take up to 24 hours for your credit card deposit to be processed.
